Formalising 3D Printing Training Sign-offs and Records

Record observed skills, task permissions and review needs.

    The essentials

Cross-training covers the basics — most operators can run a job. But advanced troubleshooting and maintenance are often still concentrated in one or two people. Without formal sign-off records, you can't confirm who is qualified to do what, and compliance has no audit trail.

    Who it is for

Operations with multiple trained operators where training has happened informally or incompletely — particularly where advanced competencies remain with a single person.

    What this procedure resolves

At Level 4, the team runs well day-to-day. Multiple operators handle standard jobs. But when a printer develops a fault, one person diagnoses it. Advanced competencies haven't been distributed or tracked.

The risk is operational: a single person holding all Level 3 capability is a fragile node. The risk is also institutional: if a safety incident occurs and training records don't exist, accountability is unclear.

    Follow the procedure

    1. 1.

      Map current operator competencies

List every operator and their current training level. Most teams find gaps they didn't expect.

    2. 2.

Identify your Level 3 Advanced training candidates

Pick operators who already troubleshoot independently — even informally.

    3. 3.

Book them into Level 3 Advanced training

Covers advanced troubleshooting, preventive maintenance, and fleet management.

    4. 4.

      Build a training sign-off register

One row per operator. Columns: L1, L2, L3, Maintenance Qualified, Date Completed, Signed Off By.

    5. 5.

      Define the sign-off standard

Demonstrated competency, not attendance. The assessor observes the task and signs.

    6. 6.

      Review the register annually

Training lapses. Machines change. New operators join.

    7. 7.

Integrate training records with your knowledge base

Link each operator's sign-off to the relevant knowledge base section.
