Operation stage 2→3
Moving Your Print Queue to a Shared Digital System
Give the team a shared view of jobs, priorities and handovers.
The essentials
A queue that only one person can see is a single point of failure. When that person is away, jobs stall. When they leave, the system walks out with them. Moving to a shared digital tool gives every operator live visibility and creates the timestamp data you need for capacity planning.

Who it is for
Studios, workshops, or teams where a job log exists but lives in one person's spreadsheet, inbox, or memory.
What this procedure resolves
At Level 2, you have some form of job tracking — but it's person-dependent. The queue exists in one person's spreadsheet, their head, or both.
There are no timestamps. That means no data on actual print time vs estimated time, no visibility into machine idle periods, and no foundation for capacity planning.
Follow the procedure
- 1.
Move the queue to Google Sheets, Notion, or Trello
The tool matters less than the access. Everyone who touches the printer needs to be able to open it.
- 2.
Add Start and End Timestamp columns
Log actual times. This is the raw data for real utilisation vs scheduled utilisation.
- 3.
Add an Operator column
Log who started the print. Handover accountability starts here.
- 4.
Set a shared view as the default
Default view should show what's running now and what's next — not full history.
- 5.
Define a handover protocol
At shift end, outgoing operator updates all active job statuses. No notes means the handover didn't happen.
- 6.
Create a separate Completed view filtered by date
Don't delete completed jobs. Archive them with timestamps intact.
- 7.
Check the queue is being used within the first week
If entries stop appearing, the system has already broken.
